Privacy Policy
This notice explains how we process the personal data of people who visit the website residencearimini.it (“Website”), contact us or book a stay at Residence Villa dei Pini, in accordance with Regulation (EU) 2016/679 (“GDPR”) and Italian Legislative Decree 196/2003 as amended.
1. Data controller

2. What data we process
- Browsing data: IP address, browser type, pages visited, date and time of access, collected automatically by the systems that run the Website.
- Cookies and similar tools: see our Cookie Policy for details.
- Data you give us: first name, surname, e-mail address, phone number and the content of your messages when you contact us by e-mail, phone or WhatsApp.
- Booking data: personal and contact details, dates of stay, number of guests and any payment details entered in the online booking form, operated by the Beddy service.
- Guest data: personal details and identity document details required by law at check-in.
3. Why we process them and legal basis
- to answer your requests for information and quotes – pre-contractual measures (Art. 6(1)(b) GDPR);
- to manage your booking and stay – performance of a contract (Art. 6(1)(b) GDPR);
- to comply with legal obligations, such as reporting guests to the police (Art. 109 of the Italian Consolidated Law on Public Security), the tourist tax, tourism statistics and tax obligations – legal obligation (Art. 6(1)(c) GDPR);
- to keep the Website secure and working properly and to protect our rights, including in court – legitimate interest (Art. 6(1)(f) GDPR);
- to collect aggregated statistics on the use of the Website with Google Analytics – only with your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time from the cookie banner.
Providing data to handle requests, bookings and legal obligations is necessary: without it we cannot reply or confirm your booking. Consent to statistics is optional. Your data is not subject to automated decision-making.
4. Who we share data with
Data may be shared, only for the purposes above, with:
- service providers who help us run the Website and our services, appointed as data processors: SiteGround (website hosting), Beddy (online booking), Google (Google Analytics, only with your consent, and e-mail);
- accountants and advisers who assist us with tax and administrative obligations;
- public authorities (police, Municipality of Rimini, Italian Revenue Agency and others) where required by law.
Your data is never published or sold to third parties.
5. Transfers outside the EU
Some providers, such as Google, may also process data outside the European Union, in particular in the United States. In such cases the transfer is based on the European Commission adequacy decision (EU-U.S. Data Privacy Framework) or on standard contractual clauses.
6. How long we keep data
- information requests: as long as needed to reply and in any case no longer than 24 months;
- booking data and tax documents: 10 years, as required by Italian civil and tax law;
- data reported to the authorities: for the periods set by law;
- Google Analytics data: 14 months;
- browsing data: for the technical time needed, unless required for security or legal defence.
7. Your rights
At any time you can request access to your data, rectification, erasure, restriction of processing, data portability, and you can object to processing (Arts. 15–22 GDPR). You can also withdraw any consent you have given, without affecting the lawfulness of prior processing.
